Common Mistakes We See in Xactimate Estimates

Over time, patterns emerge. Whether an Estimate was prepared by a carrier adjuster, an independent adjuster, a Contractor, or even a well intentioned third party, certain issues appear repeatedly.

Here are some of the most common:

1. Missing Line Items

Sometimes necessary tasks are simply not included.

Examples may include:

  • Detach and reset items

  • Protection of undamaged areas

  • Debris hauling

  • Temporary repairs

  • Final cleaning

Because Xactimate is line item driven, if a task is not listed, it is not being paid.

2. Measurement Errors in the Sketch

If the 2D sketch is inaccurate, quantities will be wrong throughout the estimate.

We frequently see:

  • Ceiling heights entered incorrectly

  • Wall lengths rounded down

  • Entire rooms omitted

  • Exterior elevations mismeasured

Small measurement differences can compound into significant dollar gaps.

3. Incorrect Material Assumptions

The estimate may assume builder grade materials when the home contained higher quality finishes.

Examples:

  • Standard Laminate instead of engineered Hardwood

  • Basic cabinetry instead of custom millwork

  • Standard shingles instead of architectural shingles

Xactimate prices what is selected. If the material code is wrong, the pricing will be wrong.

4. Depreciation Applied Too Broadly

Depreciation is sometimes applied to items that may not warrant it, or applied at higher percentages than appropriate.

We often see:

  • Excessive age assumptions

  • Useful life underestimated

  • Condition not properly considered

Depreciation directly affects initial payments and recoverable amounts.

5. Overhead and Profit Not Included When Appropriate

If a rebuild requires coordination of multiple trades, Overhead and Profit is typically necessary to hire a general contractor.

However, it is sometimes omitted in early estimates.

Without it, homeowners may struggle to secure qualified project management.

6. Code Upgrade or Ordinance and Law Gaps

Modern building codes may require upgrades beyond simple replacement.

Examples:

  • Electrical panel upgrades

  • Insulation standards

  • Energy Efficiency requirements

  • Structural tie downs

If these are not addressed, there may be a gap between what is paid and what is legally required to rebuild.

7. Cleaning Scope Underestimated

In fire and smoke losses, cleaning can be significantly underestimated.

Common gaps include:

  • HVAC system cleaning

  • Insulation replacement due to contamination

  • Specialty surface cleaning

  • Deodorization procedures

Incomplete cleaning scope can lead to long term issues.

8. Lack of Supplement Strategy

An initial Xactimate estimate is often not the final version.

If new damage is discovered during Demolition or if pricing shifts due to Demand Surge, a supplement may be necessary.

Some estimates are treated as final too early, even when legitimate updates are warranted.
